Context

Sustaain is a data-for-sustainability startup building a decision intelligence layer for complex commodity supply chains (coffee, cocoa, and beyond). Our solutions turn fragmented origin, sourcing, and compliance data into auditable decisions.

We ship to large commodity traders and food & beverage brands under real regulatory deadlines, and we are fundraising and scaling at the same time. As the company grows, our finance function is moving from a founder-and-consultant setup to a proper internal role. That role is this one.

Role Overview

We are looking for a Finance & Administration Manager (Responsable Administratif et Financier) to own the day-to-day finance and administrative engine of the company end-to-end: accounting, cash, contracts, payroll, reporting, and the administrative backbone of a growing team.

You keep the numbers clean, the cash visible, the contracts in order, and the company fundraise-ready. Strategy is covered above you. Execution and reliability are yours.

You inherit a steering engine that is already built and documented. This shortens both the ramp-up and the climb to full load.

You will report to the CEO and work alongside our fractional CFO, who steers financial strategy roughly one day a month. You coordinate closely with our chartered accountant, our payroll provider, and the sales and product teams whose numbers you consolidate (revenue & time spent).

Responsibilities

• Own accounting and bookkeeping: keep Pennylane current, manage the relationship with our chartered accountant, close the month on time.
• Manage the VAT position and the tax calendar with our chartered accountant.
• Maintain the cash and runway view from Qonto, refresh the weekly leadership dashboard, and produce a per-project P&L that leadership actually uses.
• Own analytical categorization as a governance role. Each expense owner qualifies their spend at source in Qonto against a defined label grid. You are its guarantor and controller, not its sole bookkeeper. Building this grid is a short organizational project to launch before you arrive.
• Draft, track and file client and supplier contracts. Manage software subscriptions and recurring spend.
• Coordinate payroll and the associated administrative tasks with our providers.
• Handle social and administrative obligations, insurance, mutuelle, and HR onboarding paperwork for a growing team.
• Support the fundraise: prepare data rooms, closing packs, and investor-ready figures, so a round never waits on our numbers.
• Track public financing files (BPI and similar): applications, milestones, cash-in follow-up.
